Most productivity tools make you figure that out yourself. Or worse, they schedule everything back-to-back regardless of whether you’re actually capable of doing the work.
rivva’s Smart Schedule is different. It’s an engine that automatically finds the best time for your tasks based on your energy levels, calendar availability, and priorities.
Here’s how it works and when to use it.
What is Smart Schedule?
Smart Schedule is rivva’s core scheduling engine. Instead of asking you to manually pick times for every task, it does the thinking for you.
It’s like having a personal assistant who knows when you focus best, when you’re likely to be drained, and when your calendar is actually free.
How does Smart Schedule work?
Smart Schedule looks at three things:
1. Your energy rhythm When you’re most focused, when you’re likely to need a break, and when lighter tasks make more sense
2. Your connected calendars Your meetings, busy slots, and actual availability across all connected accounts
3. Task details Duration, type, priority, and any scheduling preferences you’ve set
Then it recommends or sets a time that helps you get work done efficiently without forcing you through tasks when you’re running on empty.
Do you have to use Smart Schedule for all tasks?
No. You can choose manual scheduling anytime.
Smart Schedule is optional but especially helpful for:
Tasks you’re not sure when to do
Balancing your workload with your energy
Days that feel overwhelming or packed
Work that keeps getting pushed because you don’t know where it fits
If you already know exactly when a task needs to happen, manual scheduling works great.
Can you override a Smart Scheduled task?
Absolutely. You’re always in control.
You can move, reschedule, or manually adjust any task. Just turn off the Smart Schedule button and pick your own time.
rivva adapts to however you prefer to work.
Does Smart Schedule change if your day changes?
Yes. If your availability or priorities shift during the day, rivva can automatically reschedule tasks to fit your new plan.
Meeting runs long? Priority shifts? Smart Schedule adjusts so your plan stays realistic without you having to manually replan everything.
Can you use Smart Schedule with time-blocking?
Yes! Tasks scheduled via Smart Schedule can also be time-blocked on your Google Calendar.
This gives you a realistic picture of your day—tasks and meetings together in one view.
Important: If you edit a Smart Scheduled task directly from your Google Calendar, Smart Schedule automatically turns off for that task. rivva assumes you want manual control at that point.
Will Smart Schedule work with Inbox or Nia tasks?
Yes! Tasks from Inbox or created by Nia are fully compatible with Smart Schedule.
In fact, all tasks created by Nia are automatically smart-scheduled by default, making it the fastest way to capture work without thinking about timing.
Can you turn off Smart Schedule for some tasks?
Yes. You can toggle Smart Schedule on or off per task.
Manual control is always available. rivva adapts to your preferences.
What happens if rivva can’t Smart Schedule a task?
In rare cases, rivva might not be able to find an available slot to Smart Schedule your task.
This can happen if:
Your calendar is completely booked
The task duration doesn’t fit anywhere in your available windows
Your scheduling conditions are too restrictive
When this happens:
The task stays in Task Manager It appears under Today or Upcoming (depending on its start date)
An error icon appears Clicking on the task shows why it couldn’t be scheduled
You stay in control From there, you can:
Manually schedule the task yourself
Edit details (start date, deadline, duration, priority, or scheduling conditions)
Adjust your calendar to make room
Smart Schedule does its best to find a slot, but you always have the final say.
