What is Inbox?
Inbox is where rivva gathers all the tasks hiding in your emails before they enter your main workflow. Instead of hunting through your inbox manually, rivva does the work for you—detecting action items and bringing them into one place for review.
Think of it as a smart filter between your email and your task list. Only what you approve becomes scheduled work.
How does Inbox work?
rivva scans your Gmail for action items. When it finds something, it appears in Inbox where you can:
Review each task with context See the original email, doc comment, or notification so you have full context
Approve the ones you want Only tasks you choose get added to your schedule
Smart-schedule instantly rivva can automatically suggest the best time to work on approved tasks
Delete irrelevant items Anything you don’t need disappears immediately
Inbox ensures you only see actionable items that matter. It’s not another place to manage email—it’s a curated task feed.
What kinds of tasks can rivva extract?
rivva looks for action items across your Gmail, including:
Direct email exchanges Follow-ups, replies needed, pending decisions
Meeting follow-ups Action items from calendar invites or meeting summaries
Tool notifications
Google Docs mentions and comments
Notion comments assigned to you
GitHub updates (PR reviews, issue assignments, comments)
Linear task assignments
Approval requests
Basically, if an email contains a clear action item, rivva can extract it.
Important: rivva doesn’t extract everything. Only items that appear to require action. This keeps your Inbox focused and prevents overwhelm.
What doesn’t rivva extract?
To keep Inbox useful, rivva skips:
General informational emails Newsletters, updates, FYI messages
Emails without clear action items Background information, context-only threads
Attachments themselves rivva references emails with attachments but doesn’t extract file content as tasks
This filtering keeps your Inbox actionable, not noisy.
Pro tip: If rivva didn’t extract something you think it should have, you can manually create a task or ask Nia to handle it. Over time, rivva learns from your feedback and improves task detection.
How to connect your Gmail account
Inbox requires Gmail access to detect tasks. You can connect up to 4 Gmail accounts.
Option 1: From Task Manager
On mobile, tap Task Manager in the navigation bar. On web, go to the left panel
Switch to Inbox
Tap Connect Gmail and follow the prompts
Option 2: From Profile/Settings
On mobile, tap Profile. On web, click Profile & Settings
Go to Permissions
Tap Connect Emails and follow the prompts
Once connected, rivva starts detecting tasks immediately and sends them to Inbox for review.
Which email providers does rivva support?
Currently, rivva only supports Gmail. But Outlook support is coming very soon.
Can I edit extracted tasks?
Yes! When rivva extracts a task, it automatically fills in details like title, duration, start date, deadline, and task type based on the email content.
You’re always in control. You can edit any of these details before scheduling to fit your workflow exactly how you want.
If I delete an email from Gmail, does it delete from rivva?
No. Once rivva extracts a task from an email, deleting that email from Gmail won’t remove the task from rivva.
This is because rivva only checks your email to extract actionable tasks—it doesn’t continuously monitor changes like deletions. You can still manage or delete the extracted task directly in rivva if you no longer need it.
